As stated in our Bylaws, Section 4-6-Duties of the Elected Officers:
A. PRESIDENT: The major duties include, but are not limited to, the following:
1. Preside at all meetings of the organization;
2. Confirm that a quorum is present before conducting any business at any meeting of the club.
3. Regularly meet with the Booster Club Sponsor/head Coach regarding booster activities and maintaining an open line of communication.
4. Appoint a parliamentarian, subject to approval of the newly elected officers;
5. The President shall oversee the function of the Booster Club;
6. Resolve problems in the membership;
7. Regularly meet with the treasurer of the organization to review the organization's financial position;
8. Be authorized to sign on bank accounts;
9. Select an officer as the designee to review the bank account, via on-line services, on at least a monthly basis. This individual shall not be a signer on the account. The designee should review the activity on the bank statement for reasonableness. Any concerns should be immediately raised with the president; otherwise the designee will report findings at each Board of Directors meeting. This provides an independent review by an individual not associated with disbursement activity.
10. Be authorized to sign contracts that have been approved by the executive board;
11. Be listed as the principal officer and be authorized to sign tax documents;
12. Call a meeting of the newly elected officers within thirty (30) days after the election meeting for the purpose of approving appointments of standing committee chairmen and such other business as becomes necessary;
12. Schedule an annual audit of records or request an audit if the need should arise during the year.
13. Serve as an ex-officio member of all committees except the nominating and audit committees.
B. VICE PRESIDENT: The major duties include, but are not limited to, the following:
1. Assist the President as required and be responsible for overseeing all Committees established by the Booster Club;
2. Acts as the president's representative in his/her absence. They must remain familiar with the organization's activities;
3. Preside at meetings in the absence or inability of the president to serve;
4. Perform administrative functions delegated by the president;
5. Perform other specific duties as outlined in the bylaws of the organization.
C. SECRETARY: The major duties include, but are not limited to, the following:
1. The secretary is responsible for keeping accurate records of the proceedings of the organization and reporting to the membership.
2. The secretary must ensure the accuracy of the minutes of the meetings, and have a thorough knowledge of parliamentary law and the organization's bylaws.
3. Maintain the records of the minutes, approved bylaws and any standing committee rules, current membership and committee listing;
4. Record all business transacted at each meeting of the association as well as executive board meetings in a prescribed format;
5. Keep an accurate record of attendance at Board of Directors and a sign-in sheet;
6. Conduct and report on all correspondence on behalf of the organization;
7. Circulate team rosters;
8. Have a current copy of the bylaws;
9. Maintain an updated copy of the membership list;
10. Will be responsible for maintaining all non-financial documents for the Booster Club including the UIL Guidelines for Boys Sports and Booster Clubs.
11. Other specific duties as outlined in the bylaws of the organization.
D. TREASURER: The major duties include, but are not limited to, the following:
1. Serve as chairperson of the Budget and Finance Committee if prescribed within the bylaws of the organization;
2. Issue a receipt for a\l monies received and deposit said amounts on a weekly basis (daily if receipts on hand exceed $250.00);
3. Present a current financial report including bank statements, bank reconciliations, and financial statements to the executive committee within thirty days of the previous month end;
4. File current financial reports at the end of each fiscal year with the campus principal/campus bookkeeper and the Director of Financial Services in Administration;
5. Maintain an accurate and detailed account of all monies received and disbursed;
6. Reconcile all bank statements as received and resolve any discrepancies with the bank immediately;
7. File State and Federal forms as required;
8. Submit records to audit committee appointed by the organization upon request or at the end of the year;
9. Other specific duties as outlined in the bylaws of the organization.
E. PARLIAMENTARIAN: The primary duty of the parliamentarian is to advise the presiding officer on parliamentary law and matters of procedure when requested.
1. The president or presiding officer of the organization alone has the power to make decisions or rule on a point of order. Thus, after the parliamentarian has given his advice, the presiding officer must make the ruling to the organization- he is not obligated to follow the recommendation of the parliamentarian.
2. The parliamentarian should be thoroughly familiar with the bylaws and any standing rules of the group on which he serves. A copy of the most recent version of Roberts Rules of Order should be maintained by the organization and referenced as needed.
